1. Introduction
Selah AI Consulting Ltd (“we”, “our”, “us”), the developer of InspectPro Premise, is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use our mobile application (“the App”).
You will be asked to explicitly accept this Privacy Policy on first launch before you can use the App. Your acceptance is recorded locally on your device along with a timestamp, the App version, and the Privacy Policy version. If we update this Policy, you will be asked to re-accept the updated version before continuing to use the App.
- Client Information: Names, email addresses, phone numbers, and property addresses that you enter for inspection reports
- Inspection Data: Photos, notes, comments, severity ratings, and checklist responses you add during inspections
- Inspector Information: Your name, email, phone number, license number, qualifications, years of experience, certifications, memberships, experience summary, and profile photo as configured in the app
- Company Information: Company name, logo, address, phone number, email, and website as configured in the company profile
- Admin Settings: A hashed admin PIN and optional security question and answer (hashed) for app access control, stored locally on your device
- Device Information: We may collect device type and operating system version for app compatibility purposes
When you create, edit, or approve inspection reports, the App automatically generates and stores the following metadata locally on your device:
- Report ID: A unique identifier for each report
- Draft Version: A version number that increments as you edit the report
- Snapshot Hash: A content fingerprint used to detect changes and support PDF caching
- Approval Record: If you approve a report, the approver name, approval timestamp, and approval method are stored
- Send Record: If you confirm sending a report, the sent timestamp and recipient (as confirmed by you) are stored
This metadata is embedded in PDF report footers for traceability. No precise GPS coordinates are collected or stored — only the property address and area descriptions that you manually enter.
2.4 Terms and Policy Acceptance
When you accept our Terms of Use and this Privacy Policy, we store the following locally on your device:
- Acceptance timestamp
- App version at time of acceptance
- Terms version accepted
- Privacy Policy version accepted
This data is never transmitted to any server.
3. How We Store Your Data
Your data is stored locally on your device and synced to your organisation’s backend.
InspectPro Premise is deployed by your organisation — your employer or the entity that provided you with the App — and is configured to synchronise your inspection data to a backend server that your organisation operates and controls (“your Organisation’s Backend”).
- Inspection photos, client information, inspection data, and report metadata are stored in the App’s local database on your device and synced to your Organisation’s Backend.
- Terms and policy acceptance records are stored locally on your device.
- InspectPro, the App developer, operates no servers and has no access to your inspection data, report metadata, or acceptance records. We cannot see, retrieve, or store your data at any time.
- Your Organisation’s Backend is not operated by InspectPro. Your organisation determines where that server is hosted, how your data is secured and retained, who within your organisation can access it, and any transfer of that data across borders. Questions about backend storage, security, retention, and access should be directed to your organisation.
- The App itself does not send analytics, usage metrics, crash reports, advertising identifiers, or telemetry to InspectPro.
Your information is used solely to:
- Create and generate inspection reports
- Store your inspection history on your device
- Track report status (Draft, Approved, Sent) and maintain an audit trail locally
- Embed report metadata (Report ID, date, version, approval status) in PDF footers
- Record your acceptance of our Terms and Privacy Policy for your reference
5. Data Sharing
We do not sell, rent, or share your personal information with third parties.
Your data leaves your device when:
- It is synced to your Organisation’s Backend as part of the App’s normal operation, as described in Section 3. Your organisation controls that backend and any onward sharing or disclosure of data held there.
- You explicitly choose to share a PDF report via email, messaging, or other apps. Shared PDFs contain the inspection content, photos, disclaimers, and report metadata (Report ID, date, version, approval status) that you have entered or the App has generated.
- You explicitly choose to export a backup ZIP file containing your inspections, photos, and configuration data
InspectPro has no ability to access, retrieve, or view your data at any time. Even if you contact us for support, we cannot see your inspections, photos, reports, or any other data. Data held on your Organisation’s Backend is accessible only to your organisation, not to InspectPro.
6. Data Security
We implement appropriate security measures within the App to protect your information:
- Data on your device remains under your device’s security protections
- Photo and inspection data are only accessible within the App on your device
- Admin PINs are stored as one-way hashes and cannot be recovered by us or read in plain text
- Security question answers are stored as one-way hashes
Data synced to your Organisation’s Backend is transmitted over, and stored on, infrastructure that your organisation configures and controls. The security of that backend, the connection to it, and the data held on it are your organisation’s responsibility. InspectPro does not transmit your data to, or store it on, any InspectPro-operated server.
7. Your Rights
You have the right to:
- Access: View all your data within the app, including report metadata and acceptance records
- Delete: Remove any inspection, photo, or client data at any time
- Export: Share your data via PDF reports or backup ZIP files
- Uninstall: Removing the app deletes all locally stored data, including acceptance records
8. Children’s Privacy
InspectPro Premise is a professional tool intended for use by inspection professionals. It is not directed at children, and we do not knowingly collect information from children.
9. Acceptance, Versioning, and Changes
We may update this Privacy Policy from time to time. When we do:
- We will increment the Privacy Policy version number
- You will be asked to re-accept the updated Policy before you can continue using the App
- The “Last Updated” date will be updated
If you do not accept an updated Privacy Policy, you may stop using the App. Uninstalling the App will delete all locally stored data, including your previous acceptance record.
10. Data Retention
Your data is retained on your device until:
- You delete individual inspections or photos
- You uninstall the application
- You clear the app’s data through device settings
InspectPro retains no copy of your data, because we do not operate servers that collect or store user data. Data synced to your Organisation’s Backend is retained according to your organisation’s own retention policy, which is determined and controlled by your organisation and is outside InspectPro’s control.
11. Third-Party Services
InspectPro Premise does not integrate any third-party analytics, advertising, tracking, or data-collection services.
The App synchronises your data to your Organisation’s Backend (see Section 3). That backend is operated by your organisation, not by a third party engaged by InspectPro. Any third-party infrastructure or services used to host or operate that backend are selected and controlled by your organisation.
12. New Zealand Privacy Act 2020
InspectPro Premise is developed in New Zealand. Under the Privacy Act 2020:
- The App collects only information that is necessary for its functions
- Information is stored on your device and synced to your Organisation’s Backend (see Section 3)
- You have the right to access and correct your information within the App; for information held on your Organisation’s Backend, your organisation is the responsible agency
- InspectPro does not disclose your information, because InspectPro has no access to it
- Privacy breach notification: A notifiable privacy breach involving your Organisation’s Backend is the responsibility of your organisation, as the agency that operates and controls that backend. InspectPro operates no servers holding your data and therefore holds no data that could be subject to a breach on InspectPro’s part.
13. Australian Privacy Act 1988
For users in Australia, the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) apply:
- The App collects only information that is necessary for its functions
- Information is stored on your device and synced to your Organisation’s Backend (see Section 3)
- You have the right to access and correct your information within the App; for information held on your Organisation’s Backend, your organisation is the responsible APP entity
- InspectPro does not disclose your information, because InspectPro has no access to it
- Notifiable Data Breaches: An eligible data breach involving your Organisation’s Backend is the responsibility of your organisation, as the entity that operates and controls that backend. InspectPro operates no servers holding your data and therefore holds no data that could be subject to a breach on InspectPro’s part.
